    Advances Learning Center is seeking an Office Administrator to work in our new Wilmington, Mass office. The Office Administrator is responsible for managing multiple office tasks in a busy, high volume office. This is an excellent opportunity for a current student or recent college graduate, offering $15-16/hour based on experience with a 20-30 hour work schedule Monday-Friday.

    Responsibilities

    The Office Assistant will support our scheduling coordinator and our clinical team with general office duties, including;

     

    • Greeting clients as they enter the office/center
    • Entering client and staff schedules into our systems; communicating scheduling changes
    • Answering emails and phone calls from clients and staff
    • Maintaining supply inventories, mail and fax distribution, and photocopying
    • Create, organize and maintain office filing systems
    • Create and maintain a picture library of program materials used during intervention sessions
    • Process I-9 Form to verify the identity and work eligibility of new employees hired
    • Keeping the office tidy and organized, including maintaining office equipment and decorating the area when appropriate

    Qualifications

    • A minimum of 1 year prior administrative experience in an office setting
    • Excellent upbeat telephone skills handling multiple incoming phone lines
    • Excellent customer service skills
    • Exceptional communication skills
    • Strong software proficiency with Microsoft Office Suite (Word, Excel, and Outlook)
    • Ability to quickly learn new software programs as needed
    • Proven ability to multi-task, prioritize and organize effectively
    • Strong attention to detail, accuracy, and follow-through
    • Bilingual, Spanish fluency preferred
    • High School Diploma, required
