  • Overview

    The Scheduling Coordinator is responsible for supporting the leadership team by managing the scheduling of clinical services. Specifically, this position creates staff schedules, ensures that scheduling information is promptly and correctly entered into our database (Central Reach), communicates schedules and changes to schedules to staff and clients, and works with all parties to maximize contract fulfillment and staff satisfaction.


    • Manage schedules for all non-exempt employees
      • Creates initial schedules
      • Keeps track of candidates’ logistical details
      • Identifies appropriate potential matches based on skill set and geographic preferences
      • Partners closely with hiring and senior managers to promptly identify and fill open hours with suitable candidates
      • Ensures maintenance of employee schedules, managing any changes and identifying situations in which existing employees may be able to bill open hours
      • Assists manages in finding suitable hours which are left open due to unplanned absences
      • Communicates schedule changes to employees
      • Coordinate with the Recruiter and HR Coordinator when onboarding new candidates
    • Communicate schedules to consultant staff and work with leadership on maximizing contract fulfilment and schedule efficiency
    •  Ensure all schedule information for non-exempt clinical employees is entered and converted correctly in Central Reach.
      • Makes changes and updates to schedules in Central Reach on a daily basis.
      • Receives PTO requests, gathers information about approval or denial of PTO requests, and communicates approval or denial to non-exempt staff.
      • Ensures all timesheets are received and converted correctly.
      • Provides primary supervisors with information for feedback related to the PTO / attendance policy.
      • Conducts payroll audits and coordinates payroll with Payroll department
    • Provide support for staffing
      • Provide input on staffing needs to recruiting and/or clinical leadership
    • Other duties as assigned.


    Employee Expectations

    •          Advise direct supervisor of scheduling changes or employment changes 8 weeks in advance.

    •          Report for work in a timely manner.

    •          Keep track of hours honestly.

    •          Call in sick as soon as possible (24 hours in advance).

    •          Ask for supervision and help whenever needed.


    Minimum Requirements:

    •          Bachelor’s degree or equivalent experience

    •          Administrative experience preferred
